Schedule Title: Administrative Specialist II - Grade 19 Dept: Office of General Counsel Supervisors: Two or more attorneys Position Summary: The Administrative Support Specialist II is a key team member in Dana-Farber Cancer Institute's Office of General Counsel (OGC). The Administrative Specialist provides administrative support to at least two (2) attorneys and to the Dana-Farber Privacy Officer. The Administrative Specialist is responsible for managing multiple calendars, planning and coordinating conference calls and meetings, maintaining extensive paper and electronic files, ordering supplies, organizing OGC legal resources, providing back-up support to other OGC Administrative Specialists and covering certain department-wide administrative needs. Mature judgment and discretion are requisite given the confidential nature of much of OGC's work. Minimum Qualifications Bachelor's degree or equivalent training or experience preferred. Experience with electronic filing preferred. Excellent English language reading, comprehension and analysis, writing, and speaking skills required. Demonstrated ability to draft correspondence and other documents is also required. Experience with (or willingness to learn) basic legal research and ability to summarize findings in writing is a plus. Position requires the ability to maintain confidentiality, discretion, diplomacy, strong attention to detail, and good judgment. Should be a Notary Republic or be willing and eligible to become a Notary Public. Experience in an office setting supporting an executive, professional group or attorney is desirable. Primary Duties and Responsibilities The responsibilities of the Administrative Support Specialist II include: Manage all meeting, travel and conference scheduling for individuals supported and maintain their contact information Provide advanced communications support; eg, screening phone calls, faxes, email, mail, and determining appropriate action in response to inquiries Assume general office duties such as copying, filing, faxing, scanning, sorting mail, greeting visitors and maintaining the cleanliness of office area Prepare general correspondence, Excel spreadsheets, PowerPoint presentations and maintain electronic and paper files At the discretion of the individuals supported, prepare and maintain legal and privacy documents; for example: create original letters for review/edit by individuals supported. proofread and format documents document office procedures and prepare reports relevant to work of the individuals supported assist with subpoenas, document production and other discovery requests obtain records and make filings with public agencies Order supplies and ensure office equipment is maintained Cover for other Administrative Specialists during absences Attend meetings and educational sessions on request of the individuals supported Understand and follow Dana-Farber policies and procedures.
