We are seeking an Administrative Assistant to join our highly energized and successful acquisition and portfolio management team in Boston. Everyday will be different in this role and we will engage a successful candidate in a well-rounded list of contributions for the team which will include administrative functions for the business. Primary responsibilities will be to provide administrative support to the entire SSI team of approximately 15 professionals located in Boston and Washington; however, this position will be the primary support person for the Boston office team (approximately 8-10 people). The successful candidate is a self-starter and true business partner laser-focused on delivering best in class results to our acquisition and portfolio management teams and clients. The ideal candidate is a relationship-oriented team player with a desire to deepen their value and contributions over time. Responsibilities: Will coordinate various team meetings and relay information. Support the acquisition and portfolio management team in ongoing investment pursuits and portfolio activity. Prioritize workload appropriately to meet competing deadlines and multiple stakeholders. Draft and deliver written communications that establish immediate credibility for self and team. Perform ad hoc administrative functions that support the business and revenue generation including preparing expense reports, data entry (updating of contact lists, etc.), filing, mailings and assisting in preparation of any investor reporting. Preparing/updating PowerPoint presentations and assisting with written investment correspondence. Assert discretion and professionalism when given access to confidential and/or private information. Will make conference room reservations, handle guest entry and catering as well as order supplies. Booking and managing travel, maintaining team's consolidated travel schedule. Processing of invoices and check requests / handle bulk printing and mailings (email or paper). Potential for flexibility in work schedule and possibly working remotely up to 2 days per week. Qualifications Minimum of High school diploma, Bachelor's degree preferred 3-5 years office experience supporting senior level executives Advanced computer skills in Microsoft Word, Excel, PowerPoint and Outlook Professional demeanor and presentation Excellent verbal, written and follow-up communication skills Strong sense of urgency, detail oriented and ability to handle confidential information Organized with ability to effectively prioritize tasks Flexible, team player, ability to work overtime when necessary. Overtime is not expected to be a regular or frequent occurrence.
