Purpose
This is a defined term position scheduled to last 2 years. The Facilities Specialist will be responsible for the following: Coordinates all phases of facilities modification and building projects from establishment of design concepts through design and implementation. Coordinates project requirements definition, negotiation of contract and contract changes; establishes operating budgets, and identification of financial terms/conditions of contract. Acts as primary contact for facilities project activities and leads project reviews of cost, schedule and technical performance. Establishes milestones and monitors adherence to master plans, budgets and schedules. Identifies problems and develops solutions, such as allocation of resources or changing project scope. May coordinate the work of employees assigned to the project.
Responsibilities
:
Perform regular sweeps of the workspace(s) to identify areas/items/equipment/materials in need of repair, replacement or upgrade.

Assist in organizing internal events; providing planning, ordering and complete implementation of events.
:
Work in unison with other support groups such as Security, IS and EH and S on programs and projects.
:
Maintain Quality records per Standard Operating Procedures (SOPs). Familiar with the use of PDM software to store and retrieve documents.
:
Ensure that floor plans and seating assignments are accurately represented, and conveyed to the appropriate levels of management.

Responsible for ensuring all office and systems furniture is functional, in good condition and conforms to set standards.

Responsible for the coordination and storage of all MEP drawings.

Liaise with building management staff on building maintenance and repair issues.

Responsible for managing the CMMS (computerized maintenance management system) including: Scheduling PMs, updating tasks associated with the equipment and ensuring completion of work order requests in a timely fashion.

Develop and generate weekly status reports detailing open/closed work orders.

Coordinate and schedule outside vendors, assisting the lead technician and facility manager.
:
Train and assist in:house staff on the CMMS systems.
:
Familiar with building automation systems including lighting controls and environmental monitoring systems.

Have the ability to monitor and respond to alarms.
:
Use the financial software system (SAP) to generate requisitions/purchase orders, set up new vendors.
:
Manage and monitor spend against POs provide weekly updates.
:
Assist in supervising small capital projects from scheduling to tracking spend.
Requirements
:
Degree in Facilities engineering and/or space planning Preferred

Knowledge of Facilities Management; areas such as Facilities engineering, Space planning, Construction/project management, Architecture, and Emergency preparedness
